1. Project Intake & Asset Manifest

• The Action: All engagements begin with a formal, data-driven intake process.
• The Detail: You initiate the process through a structured project intake. A formal asset manifest, detailing manufacturer, model, quantity, and condition, is required and verified prior to mobilisation. We do not provide quotes based on informal estimates; we provide solutions based on verified data.
• The Governance: This stage establishes the technical foundation and prevents scope creep by locking in the project parameters before any equipment moves.
  

2. Scope & Compliance Review

• The Action: We verify the project against the Solar Circles compliance and risk framework.
• The Detail: We assess the manifest against WHS requirements, environmental handling mandates, and state-specific e-waste regulations. We confirm exactly what is in scope and, critically, what is not.
• The Governance: This ensures the project aligns with your organisation’s insurance profiles and ESG reporting standards.
  

3. Mobilisation & Safety Setup

• The Action: Safety documentation and logistics coordination are finalised.
• The Detail: We coordinate with your site management to establish the "Interface Zone" for asset handover. No mobilisation occurs until all safety documentation is approved and the project deposit is confirmed.
• The Governance: This ensures minimal interference with ongoing site operations, as defined in the approved site interface plan.
  

4. Site Interface & Custody Transfer

• The Action: The definitive point of responsibility and custody transfer.
• The Detail: Assets are formally handed over after electrical disconnection has been completed by your licensed contractors. Assets are counted, logged, and formally accepted into Solar Circles’ managed custody.
• The Governance: This marks the formal transfer of custody and associated handling responsibility as defined in the project scope.
  

5. Transport & Chain of Responsibility (CoR)

• The Action: Managed logistics under a unified compliance umbrella.
• The Detail: Assets move via audited, compliant logistics partners. We manage all Chain of Responsibility (CoR) requirements and transit insurance, treating these assets as controlled equipment throughout the journey.
• The Governance: This provides total traceability and security during the most vulnerable phase of asset movement.
  

6. Triage, Testing & Allocation

• The Action: Technical audit and grading at our facility.
• The Detail: Every panel undergoes visual inspection, serial number verification, and Open Circuit Voltage (VOC) testing. Assets are graded and allocated to verified reuse or licensed third-party recycling pathways.
• The Governance: Ensures every asset reaches its highest-value and most compliant end-of-life outcome.
  

7. Reporting & Verification

• The Action: Delivery of your Audit-Ready Evidence Pack.
• The Detail: You receive comprehensive audit-ready diversion documentation, including serial-level manifests and signed custody transfer records. This documentation is designed to satisfy auditors, insurers, and regulators.
• The Governance: Formal project closure is only achieved when the defensible evidence trail is complete. This is not optional. This is the system.
